Do you need a PandaDoc consultant?
Some teams should set PandaDoc up themselves. Others lose months trying. Tick what applies to you and the self-check shows which route fits: do it yourself, targeted help on the hard parts, or a full implementation, and why.
Your route
Do it yourself
Your scope is simple enough to build in-house. Follow a checklist, pick the right plan, and keep a call in reserve if you hit a wall.
What drives it
- Nothing ticked yet: a simple setup you can own in-house.

How the self-check decides
Each answer carries a weight. The heaviest are the three things that stall do-it-yourself builds: pricing logic, CRM sync beyond the native defaults, and nobody having the time to own the work. Several brands or teams and AI drafting weigh the same, because they multiply everything else. Teams typically get most of the way in a weekend, then spend months on the last 20%. The self-check is there to tell you, before you start, whether that last 20% applies to you.
The three routes compared
| Do it yourself | Targeted help | Full implementation | |
|---|---|---|---|
| Fits when | One or two document types, simple stable pricing, native CRM defaults | One hard part: pricing tables, CRM mapping or templates | Several hard parts at once, or no time in-house |
| Who builds it | Your team | Us for the hard part, your team for the rest | Us, with your sign-off at each stage |
| Your time | The most: you own every stage | Moderate: you run the system day to day | The least: scoping, reviews and training |
| Main risk | Stalling on the last 20% and drifting back to Word | The parts you keep in-house going unowned | Paying for scope you did not need, so scope it first |
| Start with | Implementation checklist | PandaDoc onboarding | PandaDoc implementation |
Before you decide
- Know what it costs either way. How much PandaDoc implementation costs covers project ranges and the real cost of DIY time.
- Know what you lose today. The proposal time cost calculator turns minutes per proposal into hours and cost per year.
- Get the plan right first. The PandaDoc plan picker shows the lowest plan that covers what you need, so the build does not stall on a missing feature.
- Know how long it takes. The PandaDoc implementation timeline breaks a build down week by week.
- Plan for after go-live. Unowned proposal systems drift. Ongoing PandaDoc support keeps changes to hours, not quarters.
PandaDoc consultant questions

Do I need a PandaDoc consultant to use PandaDoc?
No. Plenty of teams set PandaDoc up themselves, especially with one or two document types, simple stable pricing and the native CRM defaults. A consultant earns their fee when pricing logic, two-way CRM sync, approvals or several brands are involved, or when nobody in-house has the time to own the build.
What does a PandaDoc consultant actually do?
Scopes the system, matches the plan to it, builds native templates and the content library, loads the product catalog and pricing rules, maps CRM fields, wires approvals and signing order, trains the team and retires the old process. Our version of that is the PandaDoc implementation service, fixed scope and fixed price.
Is there a middle option between DIY and a full implementation?
Yes. Pay for a scoped piece of work that covers the hard part, usually templates, pricing tables or the CRM sync, then run the system yourself. If you want someone on call for changes afterwards, a small monthly support retainer covers that without a new project each time.
How do I know if our PandaDoc setup has stalled?
Common signs: reps still copy and paste from Word or old documents, prices are retyped instead of pulled from a catalog, the CRM shows deal data PandaDoc never receives, or only one person knows how the templates work. Any of those means the system is not finished, whatever the go-live date said.
Is this self-check an official PandaDoc tool?
No. It is our directional read as a Certified PandaDoc Premier Partner, based on what stalls the builds we are asked to rescue. Your answers stay in your browser. A 15-minute call gives you a real answer and, if you want one, a fixed price within 24 hours.
