PandaDoc and Microsoft Dynamics 365
Yes, PandaDoc integrates with Microsoft Dynamics 365 through a native module on the Business and Enterprise plans. Reps create, send and track proposals, quotes and contracts from Opportunity, Account, Contact, Quote and custom entities, with Dynamics fields filled in as tokens. This page covers what it does, how to set it up, where it trips teams up, and what to do if you run Business Central.
What the native integration does
| PandaDoc plan | Business or Enterprise (compare in the plan guide) |
| Dynamics versions | Dynamics 365 cloud; Dynamics 365 on-premise 9.0 and later |
| Send from | Opportunity, Account, Contact, Quote and custom entities |
| Data into documents | Mapped fields as tokens and variables; recipients from Opportunities, Leads and Quotes into template roles; products into the quote builder |
| Back in Dynamics | Document status and activity on the record, so reps see views and signatures without leaving the CRM |
| Workspaces | Works with multiple PandaDoc workspaces (useful for multi-brand setups) |
| Roles | PandaDoc User and PandaDoc Admin security roles in Dynamics |
How to set it up, in order
- 1
Confirm the plan
The Dynamics integration is available on PandaDoc Business and Enterprise. On Essentials there is no Dynamics module to install.
- 2
Install the solution
Cloud Dynamics 365: install PandaDoc from Microsoft AppSource ("Get it now"), choose the organisation and wait for the status to show Installed. On-premise Dynamics 365 9.0 and later: Advanced Settings, Customization, Solutions, then import the downloaded .zip.
- 3
Assign security roles
Give each user the PandaDoc User role (works with the existing setup, cannot change tokens) or PandaDoc Admin (can add and remove tokens). Make sure Read is enabled for PandaDoc Tokens Mapping under Custom Entities, or users see errors.
- 4
Add the PandaDoc module to each entity
The module is added separately to every entity you want to send from: Opportunity, Account, Contact, Quote or a custom entity. Missing one is the most common reason a rep "cannot see PandaDoc" on a record.
- 5
Map fields as tokens
Admins map Dynamics fields to tokens, and templates use them as variables in square brackets, such as [field_name]. Template roles can be pre-filled with recipients from Opportunities, Leads and Quotes.
- 6
Build templates and test on real records
Create the templates reps will send, then run a test document from each entity with real data before go-live: empty tokens, wrong recipients and Boolean fields show up here, not in front of a client.
Known limits and how to work around them
| What you see | Why, and the fix |
|---|---|
| A new record shows no PandaDoc module | Save the record first. The module only loads on saved records. |
| Users get stuck in a login loop | Third-party cookies must be allowed in the browser for the embedded PandaDoc frame. |
| A Yes/No field always shows the same value | Boolean fields only pass their first value as a token. Use an OptionSet field instead. |
| Data changed in Dynamics but not in the document | Refresh data works only while the document is a draft. Once sent, the values are fixed. |
| Recipients needed from a second object | A document links to one object at a time and cannot pull recipients from another object after creation. Relink it or set roles in the template. |
Tokens that arrive empty are usually a mapping or naming problem, not a Dynamics one: the fixes in PandaDoc merge variables not populating apply here too.
Running Dynamics 365 Business Central?
Business Central is the ERP, not the CRM, and PandaDoc's native Dynamics module is built around CRM entities. Teams that need quotes to land in Business Central have three routes:
- A third-party connector from Microsoft AppSource. Check who maintains it and which Business Central documents it covers before you rely on it.
- Zapier. Business Central offers new and updated contact triggers; PandaDoc can create a document from a template or update a contact. Fine for contacts, thin for quotes. See the PandaDoc Zapier guide.
- Structured quote data that Business Central imports. This is what we built for Candrone: CPQ rules set the correct tax rate for each of 13 Canadian provinces and territories and write the Tax Area Code and Tax Exempt Code into the quote table columns Business Central reads on import. No manual entry. The PandaDoc API covers the rest when you need it.
Where a Dynamics build gets hard
Installing the solution is quick. The work is in what comes after: deciding which fields become tokens, building templates that stay correct when a field is empty, pricing and tax rules in PandaDoc CPQ, approvals before a quote goes out, and getting the result into your ERP. That is the part we take on in a PandaDoc implementation.

Does PandaDoc integrate with Microsoft Dynamics 365?
Yes. PandaDoc has a native module for Dynamics 365 (cloud, plus on-premise 9.0 and later) on the Business and Enterprise plans. Reps create, send and track PandaDoc documents from Opportunity, Account, Contact, Quote and custom entities, with Dynamics fields passed in as tokens.
Which PandaDoc plan do I need for Dynamics 365?
Business or Enterprise. Essentials does not include CRM integrations. If you also need CPQ rules or advanced approval logic, check the plan picker before you buy, because those decide the tier more often than the CRM does.
Does PandaDoc integrate with Dynamics 365 Business Central?
Not through the same native module, which covers Dynamics 365 Sales entities. Business Central teams usually connect through a third-party app on Microsoft AppSource, Zapier (Business Central offers contact triggers there) or the PandaDoc API. For Candrone we wrote Business Central tax codes into PandaDoc quote columns that Business Central reads on import.
Can products on a Dynamics opportunity flow into a PandaDoc quote?
Yes. With the integration enabled, products import into the PandaDoc quote builder instead of being retyped. Imports land in the last section of a multi-section quote block, so design the template with that in mind.
Do I need a consultant to set up PandaDoc with Dynamics?
Not for a basic install: a Dynamics admin can install the solution, assign roles and map a few tokens by following the PandaDoc help center guide. Help pays off when templates need many mapped fields, custom entities, pricing rules, approvals or a Business Central handoff. The free self-check gives a directional answer in two minutes.
