PandaDoc and Zoho CRM
Yes, PandaDoc integrates with Zoho CRM through a native extension on the Business and Enterprise plans. Reps create, send and track proposals, quotes and contracts from Deals, Quotes, Accounts, Contacts and Leads, with Zoho fields filled in as variables and deal products pulled into the pricing table. This page covers what it does, how to set it up, the automations that update Zoho, and where it trips teams up.
What the native integration does
| PandaDoc plan | Business or Enterprise (compare in the plan guide) |
| Send from | Deals (Potentials), Quotes, Accounts, Contacts and Leads |
| Zoho data centres | .com, .eu, .uk, .au, .in, .ca, .jp and .sa |
| Data into documents | Contact and company fields as variables; deal products (name, description, price, quantity, SKU, discount, tax) into the pricing table or quote builder |
| Back in Zoho | Document status in a PandaDoc Documents section on the record |
| Automations | Change deal or quote stage, update quote products, attach the PDF to the deal or quote (paid add-on on Business, included in Enterprise) |
| Workspaces | Installed per PandaDoc workspace (relevant for multi-brand setups) |
How to set it up, in order
- 1
Confirm the plan
The Zoho CRM integration is available on PandaDoc Business and Enterprise. The automations that write back to Zoho (deal stage, quote stage, quote products, PDF attachments) are a paid add-on on Business and included in Enterprise.
- 2
Install the extension in Zoho
Log in to PandaDoc first. Then in Zoho CRM go to Setup, Marketplace, All Extensions, search for PandaDoc and click Install. Confirm the account and terms, choose All Users or specific team members, and authorise the connection between the two apps.
- 3
Enable it in PandaDoc and pick your zone
In PandaDoc, open your name in the lower-left corner, then Integrations, then Zoho CRM, and choose the Zoho data centre your account lives in: .com, .eu, .uk, .au, .in, .ca, .jp or .sa. The wrong zone is a quiet cause of a connection that never works.
- 4
Install it in the right workspace
The integration is installed inside the PandaDoc workspace you are logged in to. Teams with several workspaces need to connect each one they send from, or reps see errors when they create a document.
- 5
Map variables and pricing table columns
Zoho fields reach templates as variables in square brackets, such as [Client.FirstName]. For products, open the pricing table data merge, choose Column mapping and match Zoho field names (Name, Description, Price, Quantity, SKU, Discount) to your columns.
- 6
Test from every module you send from
Create a test document from each module reps will use: Deals, Quotes, Accounts, Contacts and Leads. Empty variables, products that do not arrive and the wrong recipient show up here, not in front of a client.
Automations that update Zoho
Sending from Zoho is half the job. The other half is Zoho knowing what happened, so nobody updates a deal by hand. PandaDoc offers four Zoho automations, each set up in PandaDoc and authorised once:
| Automation | When it runs, and what it does |
|---|---|
| Change deal stage | Document completed or declined: moves the deal to Closed Won, Closed Lost or Closed Lost to Competition |
| Change quote stage | Document completed or declined: moves the Zoho quote to Closed Won or Closed Lost |
| Update quote products | Document sent or completed: writes the final names, prices, quantities and discounts back to the Zoho quote, so a client's choices on optional items reach the CRM |
| Attach PDF | Document sent: saves the PDF to the deal or quote attachments; on completion the signed PDF with its signature certificate is saved |
Automations only fire on documents created from Zoho with the template you configured them on. Documents built from scratch in PandaDoc do not trigger them. For the same pattern on HubSpot, see PandaDoc HubSpot deal stage automation.
Known limits and how to work around them
| What you see | Why, and the fix |
|---|---|
| Products do not come through | The Products module must be in Selected Tabs in Zoho Setup, and for documents from Contacts the Accounts module must be too. |
| Quantity always shows 1 or nothing | PandaDoc only reads the quantity from a Zoho field named exactly "Quantity". Rename or remap the field. |
| Custom product fields are missing | Custom fields map to pricing table columns only on documents created from Deals, not from Quotes or other modules. |
| Cost or Subtotal columns stay empty | No Zoho field can be mapped to Cost or Subtotal; Subtotal calculates itself. Negative values cannot map to Price or Quantity either. |
| Products land in the wrong part of the quote | With several sections in a quote block, products import into the last section. Design the template with that in mind. |
| The signed PDF is not on the deal | Completed PDFs over 20 MB are not attached automatically. Compress large images or attachments in the template. |
| The integration stops pulling data | In PandaDoc, Integrations, Zoho CRM, click Disable and reconnect. Check Active AuthTokens in your Zoho account if you hit token limits. |
Variables that arrive empty are usually a mapping or naming problem rather than a Zoho one: the fixes in PandaDoc merge variables not populating apply here too.
Where a Zoho build gets hard
Installing the extension is quick. The work is in what comes after: deciding which Zoho fields become variables, templates that stay correct when a field is empty, conditional content by product or region, pricing and discount rules in PandaDoc CPQ, approvals before a quote goes out, and stage automations that keep the pipeline honest. That is the part we take on in a PandaDoc implementation.

PandaDoc and Zoho CRM questions
Still have questions? Book a free call
Does PandaDoc integrate with Zoho CRM?
Yes. PandaDoc has a native Zoho CRM extension on the Business and Enterprise plans. Reps create, send and track proposals, quotes and contracts from Deals, Quotes, Accounts, Contacts and Leads, with Zoho fields filled in as variables and deal products pulled into the pricing table.
Which PandaDoc plan do I need for Zoho CRM?
Business or Enterprise. Essentials does not include CRM integrations. If you want PandaDoc to move the deal stage or write products back to the Zoho quote when a document is signed, that automation is a paid add-on on Business and included in Enterprise.
Can PandaDoc update the Zoho deal stage when a proposal is signed?
Yes, with the Zoho automations. When a document is completed or declined, PandaDoc can move the deal to Closed Won, Closed Lost or Closed Lost to Competition, and do the same for quote stages. Automations only run on documents created from Zoho with the template you configured.
Why are my Zoho products not showing in the PandaDoc pricing table?
The usual causes are the Products module sitting in Unselected Tabs in Zoho Setup, an empty column name in the pricing table, or a quantity field not named "Quantity". Custom product fields also only come through from Deals.
Do I need a consultant to set up PandaDoc with Zoho CRM?
Not for a basic install: a Zoho admin can install the extension, pick the zone and map a few variables in an afternoon. Help pays off when templates need many mapped fields, conditional content, pricing rules, approvals or stage automations across several workspaces. The free self-check gives a directional answer in two minutes.
